Job Description

Are you an organized and meticulous person who wants to join our organization as a Process Manager, specializing in “Check-in at Work” and “Declaration of Works”? In this role, you will be in charge of providing transversal operational support and acting as the central contact person for the business, Agoria and the ONSS/RSZ in Belgium.

Your main goal will be to ensure proper monitoring and compliance with Belgian Social Security legislation related to the Check-in at Work registration and Declaration of Works.

  • check-in at Work Process Management:
    • defining and implementing the Check-in at Work Process for Equans Belux
    • being the main point of contact for internal stakeholders and ONSS/RSZ regarding the Check-in at Work system
    • training and educating stakeholders on the registration process, making sure they comply with daily registration requirements
    • monitoring and verifying the accuracy of registration data and solving any discrepancies or issues promptly
    • working together with internal teams and external stakeholders to address technical or operational challenges related to the Check-in at Work system
    • staying updated with the latest developments and changes in the Check-in at Work regulations and implementing necessary adjustments in the organization’s processes
  • declaration of Works Oversight:
    • defining and implementing the Declaration of Works Process for Equans Belux
    • managing the Declaration of Works process, making sure all relevant workplaces subject to compulsory attendance registration are properly declared
    • coordinating with internal departments to gather accurate information about worksite declarations and enforcing updates or corrections accordingly
    • conducting periodic audits to ensure compliance with the Declaration of Works requirements
    • liaising with Agoria, ONSS/RSZ, and other regulatory bodies to address any inquiries or issues related to the Declaration of Works
  • compliance and reporting:
    • having a comprehensive understanding of Belgian Social Security legislation and its implications for the organization
    • developing and implementing internal controls to ensure compliance with applicable regulations
    • preparing regular reports and documentation related to Check-in at Work registrations and Declaration of Works, providing insights and recommendations for process improvements
    • collaborating with the legal and HR teams to ensure adherence to labor and employment laws, specifically related to social security

  • Master’s degree in a relevant field (e.g., Business Administration, Human Resources, Legal) or equivalent practical experience (5 years minimum)
  • proven experience in managing business processes, preferably in a compliance-related role
  • familiarity with Belgian Social Security legislation and its practical application within organizations
  • excellent communication and interpersonal skills to effectively collaborate with various internal and external stakeholders
  • strong analytical skills and attention to detail, with the ability to spot errors and solve issues effectively
  • ability to work independently, manage multiple priorities, and meet deadlines
  • ability to communicate at a professional level in both Dutch, French and English
